For: Freelancers, agencies and project leads
The useful outcome: An agreed package pattern for chosen deliverables
Inventory the intended delivery
A handover project begins with a deliberate list of what the recipient should receive. Separate approved finals from working files, drafts, exports, and personal notes. The list becomes the basis for an index, so both sender and recipient can compare the package with the agreed deliverables. This is especially useful where a folder has grown through several project phases.
- List final files by recipient need
- Mark files that are reference-only
- Name one person to confirm the inventory
Apply a readable package pattern
The package can use a top folder, clearly named subfolders, an index, and a short README. For example, a design delivery may place final logos in 01_Final, working reference in 02_Reference, and instructions in README.txt. Names describe purpose and version without requiring the recipient to decode internal abbreviations. The handover builder creates a ZIP locally from selected files.
- Use leading numbers only to show reading order
- Explain any required software in the README
- Keep the index aligned with the folder names
Check it as a recipient
Before delivery, open the ZIP separately and follow the README without relying on the original project folder. The review looks for missing files, accidental extras, broken naming, and a next step the recipient can understand. A custom project may define repeatable naming rules, index fields, and review roles for a team.
- Open at least one file from every folder
- Check that final versions are the intended ones
- Record the package date and version
Questions, answered.
Does the handover builder alter or scan files?
It copies selected files into a local ZIP with an index and manifest. It does not convert files, compress them for optimization, or scan them for malware.
What should a README tell the recipient?
State what the package contains, where to start, any known viewing requirement, and who to contact about the agreed delivery.
